Field notes from 1,000+ webinars
The Playbook.
Six rules we build every engagement on. Free — because knowing the playbook and running it every month are different jobs.
Show-up rate
Half your registrants won’t show
Show-up rates industry-wide hover around 40–50%, and they’re decided the week before the event — not on show day.
The rule: four emails — confirmation that re-sells the session, a working calendar file, a 24-hour reason to care, a join link one hour out.
Follow-up
The no-show list is your best asset
No-shows raised their hands too — and the segment is usually bigger than the live room.
The rule: no-shows get their own sequence — replay up top, timestamps to the best moments, same call to action. Reach roughly doubles.
Format
The audience picks the format
Executives show up for peer panels; practitioners show up for live demos and deep dives. Most weak webinars are a format-audience mismatch.
The rule: pick the buyer first. The format falls out of it.
Production
Webinars are won in the green room
Nearly every on-air disaster traces back to a skipped pre-show step.
The rule: thirty minutes early — audio on the real machine, slides advanced by the real hands, backup dial-in tested, opening rehearsed once out loud.
Repurposing
One webinar, ten assets
The live hour is the most expensive content you make — so it should start the content, not end it.
The rule: every session yields a replay page, social clips, a recap post, pull-quotes, and sales snippets for the exact objections raised in Q&A.
Evergreen
Evergreen is a system, not a recording
Posting the replay on YouTube isn’t a strategy. Real evergreen keeps the live mechanics — schedules, reminders, follow-up — running around your best session automatically.
The rule: last quarter’s webinar should still be registering buyers while you build the next one.
